QuickBooks Online User Permissions

Here are the options you'll find in the Plus edition when it's time to set your QuickBooks Online User Permissions. You must choose which users you want to give which access and rights.


How To Enable Account Numbers in QuickBooks Online

You may give each account a unique number in quickbooks online multiple users to help you find it and keep track of it more easily. Account numbers are not activated by default, so if you or your accountant would like them activated, I'll demonstrate how to do it.

Setting Account Numbers to On
1. Toggle the gear icon to the upper right of the screen.

2. In the Your Company section, select Account and Settings.


3. Click Advanced on the left-hand side


4. You'll notice that Enable account numbers is disabled in the third option, Chart of Accounts. On the right side of this area, click the pencil.




5. After selecting "on," the Enable account numbers box will change from "off" to "on."


6. A box with the option to Show account numbers will appear; select it as well.


7. Select the Save button in green.

8. In the lower right-hand corner of the screen, click the green Done button.

You can now see numbers in your Chart of Accounts. I'll also demonstrate how to assign numbers if you haven't already.




How to add a bank account in QuickBooks Online

METHOD 1: Direct connection to the feed
This is often used for a bank account that has been configured for bank feed access and for which you are aware that a bank feed is available.

Click the 'Link account' option in QuickBooks Online's Banking tab.


When the 'Direct Feed' page opens, simply type in the name of your bank and follow the prompts


METHOD 2: Adding a bank account by hand
If there is no bank feed available or if you want to attach the bank feed later, this alternative is fantastic.

When the Chart of Accounts loads in QuickBooks Online, go to the Accounting tab and select "New."

In the following window, you will enter the account particulars. 

'Account Type' - please select 'Bank'



'Detail Type' - we've selected 'Checking', since we are adding a Bank of America checking account to QuickBooks Online


'Currency' - this is where you nominate the currency of the bank account. In our example, it is United States Dollar.


'Balance' - this is the opening balance section
